Smartlead, launched on Product Hunt on 16 November 2022, is a cold email platform from Australian company 521 Products Pty Ltd. One account rotates sending across all connected mailboxes and adds warmup, a unified inbox, a lead finder, AI agents and an API with webhooks. Plans scale with send volume, not seats.

About Smartlead

Smartlead is a cold email platform made by 521 Products Pty Ltd, an Australian company that trades as Smartlead. Vaibhav Namburi is named as its founder on the vendor's own author page, and the product launched on Product Hunt in November 2022. It is aimed at people who send outbound email in bulk: agencies running campaigns for clients, lead-generation freelancers and small sales teams that would otherwise face a bill that grows with every mailbox. The vendor says more than 100,000 businesses use it, a figure printed on its homepage that HokAI could not check independently.

Mailboxes connect over Google, Outlook or SMTP, and each campaign rotates sending across every connected account so that no single address carries a spike. A warmup engine simulates opens, reads and replies through a private pool to build sender reputation. Replies from every campaign, client and mailbox land in one Unified Master Inbox, where they are sorted by intent and can sync to a CRM. Two counters are easy to confuse: a lead credit is one stored prospect address, and an email credit is one message sent, so the same contact can be emailed several times inside a send allowance.

The product is closer to a suite than a single sequencer. SmartProspect finds verified leads, SmartAgents runs AI agents that research prospects and draft messages, SmartDelivery tests inbox placement before a send, SmartInfra rents dedicated servers and SmartDialer adds calling. Most of these are paid add-ons or separate allowances, which is why the plan table is worth reading before the feature list. Agencies are the natural fit, since client workspaces and white-label branding are sold as add-ons from the Pro tier.

It syncs with HubSpot, Salesforce, Pipedrive and Zoho, and the vendor says it reaches thousands more apps through Zapier or Make, while teams that prefer to self-host their automations can use n8n. G2's vendor-verified integration list also lists Claude next to ChatGPT. Enrichment can come from Clay, which G2 lists as a Smartlead integration, while a contact database such as Apollo covers sourcing. Teams comparing volume-priced senders should read Instantly, and teams that want LinkedIn steps in the same sequence should look at lemlist. The wider field is mapped in AI SDR tools and the best AI SDRs guide, and Smart Match can narrow it to your situation.

Pricing

Smartlead has no permanent free plan, only a free trial that the vendor says needs no credit card. Plans are priced by volume rather than seats or mailboxes: Base is $39 a month for 6,000 sends and 2,000 stored contacts, Pro is $94 for 90,000 sends and 30,000 contacts, Unlimited Smart is $174 for 150,000 sends and Unlimited Prime is $379 for 500,000 sends, both with unlimited stored contacts. Annual billing takes 17 percent off, which the vendor's pricing file lists as $32.50, $78.30, $144.50 and $314.60 a month.

Verified prospect emails are counted separately (2,000, 30,000, 50,000 and 170,000 a month by plan) and cost $59 a month extra on Base and Pro, but are included on Smart and Prime. At list price the monthly cost per 1,000 sends works out near $6.50 on Base, $1.04 on Pro, $1.16 on Smart and $0.76 on Prime, so Pro is cheaper per send than Smart if its 30,000-contact cap fits. Add-ons stack on any plan: private SmartServers are $39 a month each, client workspaces $29 each, SmartDelivery placement testing starts at $49 a month, and SmartSenders mailboxes run from $3.99 to $9 a month with domains at $13 to $19 a year. The monthly prices on the vendor's pricing page, read on 2026-10-19, match its plain-text pricing file dated 28 July 2026. For other pricing models see Instantly, which splits sending and lead credits, and lemlist, which charges per user on its multichannel plan.

Key Features

  • Sender rotation and warmup: Each campaign rotates sending across every connected mailbox, while a private warmup pool simulates opens, reads and replies, in the Foundation tier on Base, Growth on Pro and Premium on Smart and Prime, which are eligible for Ultra Premium.
  • Unified Master Inbox: One inbox collects replies from every campaign, client and mailbox, auto-categorises them by intent, and syncs deal status to a CRM through a drag-and-drop board.
  • SmartProspect lead finder: Searches B2B contacts and says each prospect is verified across three independent sources; the verified-email allowance is its own counter, separate from sends and stored contacts.
  • SmartAgents: AI agents research leads, write personalised emails, update the CRM and classify replies without code, according to the vendor; HokAI has not tested their output.
  • API, webhooks and named keys: A REST API (V1) and webhooks on reply, bounce and unsubscribe are available from Pro, with up to 25 named API keys that can be revoked independently.
  • SmartDelivery placement tests: A paid add-on that tests where a campaign sequence lands before you send it, with 120 sequence tests on its Growth tier and unlimited tests on the two tiers above it.
  • SmartSenders mailbox setup: Buys and configures Google, Outlook or SMTP mailboxes with domain DNS, SPF, DKIM and DMARC handled for you, billed per domain per year and per mailbox per month.

Pros

  • Cost per 1,000 sends falls unevenly across tiers: Base works out near $6.50 at list price, Pro near $1.04, Smart near $1.16 and Prime near $0.76, so the mid-priced Pro beats Smart per send.
  • The vendor publishes current plans as plain text at smartlead.ai/pricing.md and ships an llms.txt index with its API docs, so plan limits can be checked by script or AI assistant without a sales call.
  • The account structure follows how agencies work: client workspaces and white-label branding are priced add-ons from Pro, and Prime bundles three client workspaces, a dedicated manager and a private Slack channel.
  • iOS and Android apps are linked from the vendor site, so replies in the Master Inbox can be handled away from a desk.

Cons

  • Review sites disagree: Trustpilot shows 2.9 from 142 reviews against 4.5 from 454 on G2, and the newest Trustpilot review read (dated late September 2026) describes failed SmartDelivery seed sends and a refused refund, though one review is an anecdote.
  • Unlimited comes with conditions: the Fair Use Policy lets Smartlead restrict or end an account for abnormal use, naming abuse of unlimited warmup, and the terms say fees are non-refundable and subscriptions renew automatically.
  • Lead data is a paid add-on on Base and Pro, and Base has no CRM, API or webhooks, so the cheapest plan is a sending-only entry point.
  • API rate limits are not published: the docs say limits vary by plan and to contact support, which makes capacity planning for heavy integrations a guess.

Data Handling

Frequently Asked Questions

What does Smartlead actually cost?

Four plans at list price: Base $39 a month, Pro $94, Unlimited Smart $174 and Unlimited Prime $379, with annual billing 17 percent cheaper. Connecting mailboxes and adding seats carries no charge. Add-ons stack on top, including private servers at $39 a month each, client workspaces at $29 each, SmartSenders mailboxes from $3.99 a month and email verification packs from $32. Base and Pro also charge $59 a month for the verified-lead allowance.

Is Smartlead free to use?

No. The vendor's plain-text pricing file says every plan includes a free trial and needs no credit card to start, but there is no free tier with ongoing limits. The pricing page does not state what the trial covers, so confirm its sending and contact caps at sign-up before importing a real list.

What should you use instead of Smartlead?

Instantly, lemlist and Apollo are the three closest records on HokAI. Instantly is also volume-priced and adds a lead database and AI agents on credits. lemlist suits teams that want LinkedIn and calling steps in one sequence on a per-user plan. Apollo starts from a large contact database with a free plan, and staying with Smartlead makes sense when many mailboxes and client workspaces are the main job.

Smartlead or Instantly: which should you pick?

The difference is in the extras. Smartlead charges by sends and stored contacts and sells client workspaces, white-label branding and SmartDelivery placement tests, while Instantly sells sending and lead credits as separate subscriptions or bundles, according to HokAI's Instantly record. G2 lists Instantly at 4.8 from 4,161 reviews, more than nine times Smartlead's review count, so it has the larger body of reviewer evidence.

How do you get started with Smartlead?

Start the free trial, then connect Google, Outlook or SMTP mailboxes or buy them through SmartSenders, which sets up domains and DNS records for you. Let warmup run before sending, then import leads and build a sequence. API keys sit under Settings, API Key Management, and plans from Pro upward include API access.

Top Alternatives

  • Instantly: Pick Smartlead if you manage several clients and want priced white-label workspaces, and Instantly if you want its lead database and AI agents billed through credits in the same account.
  • lemlist: Pick Smartlead for volume-priced email across many mailboxes, and lemlist if LinkedIn and calling steps in one per-user sequence matter more.
  • Apollo.io: Pick Smartlead if sending infrastructure is the bottleneck, and Apollo if you first need a big prospect database and a free plan to start on.
